This Privacy Policy describes how SimpleVoIP LLC (“SimpleVoIP,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with SimpleVoIP Connect (also marketed as SimpleVoIP CRM Connect, and referred to here as “Connect” or the “Service”) — including the Connect Chrome extension, the Connect web application, and the Connect features of the SimpleVoIP mobile app.
This policy is specific to Connect. It supplements, and where it conflicts it controls over, the general SimpleVoIP Privacy Policy, which continues to govern our website and our other services.
1. About Connect and the roles of the parties
Connect links a SimpleVoIP cloud phone system to the customer relationship management, property management, and other business systems our customers already use — referred to in this policy as “Connected Platforms.” The set of supported Connected Platforms changes as we add integrations. Connect enables click-to-call from within a Connected Platform, screen pops that surface the matching contact record when a call arrives, call logging and note-writing back into that platform, AI-assisted call recording, transcription and summaries, one-to-one SMS, and voice broadcast campaigns.
Connect is sold to businesses. In most cases our customer — the business that subscribes to Connect — is the controller of the personal information processed through the Service, and SimpleVoIP acts as a processor or service provider on that customer’s instructions. That means:
- The subscribing business decides what data goes into its Connected Platform and how Connect is configured, including whether calls are recorded.
- We process that data to deliver the Service, not for our own independent purposes.
- If you are a contact (e.g., customer, tenant, owner, vendor, etc.) or other individual whose information appears in a customer’s Connected Platform, please direct access, correction, and deletion requests to that business. We will support them in responding.
SimpleVoIP acts as a controller for the limited set of data we collect about our own account holders and administrators — billing contacts, support correspondence, and login records.
2. Information we collect
2.1 Account and administrative information
- Name, business email address, business phone number, job title, and company name for the users and administrators we provision.
- Authentication data, including credentials, OAuth tokens for Connected Platforms, session tokens, and multi-factor authentication settings.
- Billing and subscription records for the customer account.
- Support requests and the correspondence related to them.
2.2 Connected Platform record data
When you are signed in to a supported Connected Platform with the Connect extension installed and enabled — and, where you have authorized it, through that platform’s integration APIs — Connect reads contact and record data in order to match telephone numbers to records, render screen pops, and enable click-to-call. Depending on the platform, this can include:
- Names and roles of the contacts held in that platform (e.g., customers, leads, tenants, owners, vendors, etc.).
- Telephone numbers and email addresses associated with those contacts.
- Company, deal, property, unit, lease, ticket, or work order identifiers used to associate a call with the correct record.
- Record links and identifiers used to write activity back to the correct place in the platform.
Connect reads only the pages and endpoints of supported Connected Platforms needed for these features. It does not read, collect, or transmit the content of any other website or browser tab, and it does not track your general browsing activity.
2.3 Call data
- Caller ID and dialed number, call direction, date, time, and duration.
- Routing and disposition information, including the extension, ring group, queue, or auto attendant involved and the outcome of the call.
- Call recordings, where recording is enabled for the account, extension, or campaign.
- Transcripts and AI-generated summaries and notes derived from those recordings.
- Voice broadcast campaign records, including the recipient list, delivery status, and any responses.
2.4 SMS data
- The sending and receiving phone numbers, timestamps, and delivery status for messages sent or received through Connect.
- The content of SMS messages sent and received through Connect, and the message history associated with a conversation, which we store so it can be displayed in the Connect interface and logged to the relevant record in your Connected Platform.
2.5 Technical and diagnostic information
- Extension version, browser version, and operating system, used to diagnose compatibility problems.
- Log and error data generated when a Connect feature fails, which may include the identifier of the record or call involved.
- Feature usage counts and timestamps, used to measure adoption and troubleshoot accounts.
We do not collect device location, browsing history outside supported Connected Platforms, financial account numbers, health information, or government identification numbers through Connect.
3. How the Chrome extension handles data
We want this to be unambiguous, because the extension runs inside a browser you also use for other things.
- Scope. The extension’s content scripts are limited to the domains of supported Connected Platforms and to SimpleVoIP domains. It is not active on other sites.
- No general browsing collection. The extension does not read, log, or transmit the URLs, contents, or form inputs of pages outside those domains.
- What leaves the browser. Telephone numbers and record identifiers are sent to SimpleVoIP servers to perform number matching, place calls, and log activity. Call and message records are transmitted to our platform so they can be displayed, stored, and written back to your Connected Platform.
- What stays local. Session state, user interface preferences, and short-lived caches used to render screen pops are stored in browser storage on your device and are cleared when the extension is removed.
- No advertising. We do not use the extension to serve advertising, build advertising profiles, or sell data to data brokers.
- Limited use. Our use and transfer of information received through the extension and through any Connected Platform authorization adheres to the applicable platform’s limited use requirements, including the Chrome Web Store User Data Policy. We use that data only to provide and improve the user-facing features of Connect.
You can remove the extension at any time from chrome://extensions. Removing it stops all local collection immediately; it does not by itself delete records already stored on our platform or written to your Connected Platform.
4. How we use information
We use the information described above to:
- Place, receive, route, and record calls and messages.
- Match inbound and outbound telephone numbers to the correct record in your Connected Platform and display screen pops.
- Generate transcripts, summaries, and notes, and write call and message activity back to your Connected Platform.
- Deliver voice broadcast campaigns you configure.
- Provide support, investigate and resolve technical problems, and restore data from backups.
- Maintain the security, availability, and integrity of the Service, including fraud and abuse prevention.
- Bill for the Service and maintain our business records.
- Comply with legal obligations and enforce our agreements.
We do not use customer call recordings, transcripts, message content, or Connected Platform record data for advertising, and we do not sell or rent that data. We do not use it to train generally available artificial intelligence models, and our AI subprocessors are contractually prohibited from doing so.
5. Artificial intelligence features
Where a customer enables them, Connect uses automated speech recognition and language models to transcribe call recordings and generate summaries and suggested notes. Recordings and transcripts are processed for this purpose by SimpleVoIP and by our AI subprocessors under contracts that restrict their use to providing the service to us.
AI-generated transcripts and summaries are automated output and may contain errors, including misattributed speakers and inaccurate details. They are provided as a convenience and should not be treated as a verbatim record or relied on as the sole basis for a decision affecting an individual. No Connect feature makes automated decisions that produce legal or similarly significant effects about an individual.
6. Call recording and consent
Call recording is a configurable feature. The customer that subscribes to Connect decides whether recording is enabled and is responsible for obtaining any consent and providing any notice required by applicable federal, state, and local law — including in jurisdictions that require the consent of all parties to a call. SimpleVoIP provides announcement and disclosure tools to support this, but does not determine whether or how a customer records calls.
If you are a caller and do not wish to be recorded, tell the person you are speaking with, or contact the company you called directly.
7. How we share information
We do not sell, rent, or trade personal information, and we do not share it for cross-context behavioral advertising. We share information only as follows:
- With your Connected Platform. Call logs, notes, summaries, and message activity are written into the customer’s account on the Connected Platform they have authorized. Data inside that platform is governed by that provider’s own terms and privacy policy and by the customer’s agreement with that provider, not by this policy.
- With service providers and subprocessors. We use vendors for cloud hosting and storage, telecommunications and SMS carriage, speech recognition and language model processing, error monitoring, and customer support tooling. They may access information only to perform services for us, under written terms that require confidentiality and prohibit using the data for their own purposes.
- Within a customer’s own organization. Administrators of a Connect account can access the calls, recordings, transcripts, and messages associated with that account, including those of their users.
- For legal reasons. We may disclose information where we believe it necessary or appropriate to comply with applicable law and legal process, to respond to lawful requests from public and government authorities, to enforce our agreements, or to protect the rights, privacy, safety, or property of SimpleVoIP, our customers, or others.
- In a business transaction. If SimpleVoIP is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

8. Data retention and deletion
- Call recordings are retained for six months by default and then deleted automatically. Customers may configure a different retention period, or route recordings to their own Amazon S3 storage, by contacting support.
- Transcripts and AI summaries are retained indefinitely, so that the searchable record of a conversation remains available after the underlying recording has been deleted. Customers may request deletion of transcripts and summaries for their account at any time.
- Call detail records (metadata such as number, time, and duration) are retained for as long as the account is active and for a reasonable period afterward for billing, dispute resolution, and legal compliance.
- SMS content and history are retained for as long as the account is active, unless the customer requests a shorter period.
- Extension-side storage is cleared when the extension is uninstalled.
- Data written into a Connected Platform remains in the customer’s account on that platform and is retained and deleted according to that customer’s settings there, not ours.
On termination of a Connect account, access to the Service ends and the retention periods above continue to run: recordings are deleted on their normal schedule, while transcripts, summaries, and call detail records are retained unless deletion is requested. A customer may request deletion of their remaining Service data at any time, including on termination, by contacting support. We will honor that request except where we are required to retain data by law or need it to resolve a pending dispute. Backups are purged on their normal rotation schedule.
OAuth credentials and Google user data
Where Connect connects to a Connected Platform or other third-party account on your behalf, we store the OAuth credential that keeps that account connected. The credential is deleted when the account is disconnected, when the SimpleVoIP account is deleted, or within 30 days of a deletion request.
Connect does not store Google user data. Where Connect connects to a Google account, we use Google’s OAuth to access data only in real time to perform the action requested, and we do not retain, copy, or store that data afterward. You can revoke our access at any time at https://myaccount.google.com/permissions.
Limited Use disclosure
SimpleVoIP’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. AI features process call and voicemail audio only; data from Google APIs is never used with AI/ML
9. Security
- Data in transit is encrypted using TLS, and call media is encrypted in transit where the endpoint supports it.
- Recordings and transcripts are encrypted at rest in our cloud storage.
- Access to customer data by SimpleVoIP personnel is restricted to staff who need it to operate the Service or provide support, and is logged.
- Our systems are scanned regularly for vulnerabilities and malware.
- Should a data breach affecting your information occur, we will notify affected customers by email within 7 business days of confirming the breach, and will cooperate with them in meeting their own notification obligations.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee its absolute security.
10. Your choices and rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, correction of inaccurate information, deletion, a portable copy, restriction of certain processing, and to withdraw consent. You also have the right not to be discriminated against for exercising these rights.
If your information is in a Connect account operated by one of our business customers, we will refer your request to that business, since they control the data. If SimpleVoIP is the controller — for example, if you are one of our account administrators — we will respond directly. We will verify your identity before acting on a request and will respond within the time frame required by applicable law.
- SMS. Reply STOP or OPTOUT to any message to stop further messages from that number. Consent to receive automated text messages is not a condition of any purchase.
- Voice broadcast. Follow the opt-out instructions given in the broadcast, or contact the company that sent it.
- Extension. Remove the Connect extension from chrome://extensions to stop local collection.
- Connected Platform access. Disconnect Connect from a Connected Platform at any time from the Connect settings, or revoke the authorization from within that platform.
- Marketing email. Use the unsubscribe link in any message, or email support@simplevoip.com.

11. Do Not Track and behavioral tracking
Connect does not use advertising cookies, does not build behavioral profiles, and does not permit third-party behavioral tracking. We honor Do Not Track browser signals.
12. Children
Connect is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
13. International users
SimpleVoIP is based in the United States and processes and stores information in the United States. If you access Connect from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.
14. Changes to this policy
We may update this policy from time to time. We will revise the “Last updated” date above and, where the change is material, notify account administrators by email. Continued use of Connect after an update means you accept the revised policy.
